Terms of Service

1. Acceptance of Terms

By creating an account or using SnapMyReceipts ("Service", "we", "us", or "our"), you agree to be bound by these Terms of Service ("Terms"). If you are using the Service on behalf of a business or organization, you represent that you have authority to bind that entity to these Terms. If you do not agree to these Terms, do not use the Service.

2. Description of Service

SnapMyReceipts is an AI-powered expense tracking platform. The Service allows you to:

• Photograph or upload receipt images for automated data extraction
• Process receipts via AI (optical character recognition) to extract vendor name, transaction amount, date, and other relevant fields
• Store, categorize, and search your expense history
• Forward receipt and invoice summaries by email to designated recipients such as a bookkeeper, accountant, or team member
• Generate expense reports in CSV or PDF format
• Grant delegate access to authorized team members
• Forward digital receipts to your unique SnapMyReceipts email address for automatic processing

We reserve the right to modify or discontinue any feature of the Service at any time, with or without notice.

3. Account Registration and Security

Accounts are created and managed through Clerk, our authentication provider. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You agree to:

• Provide accurate and complete registration information
• Keep your password secure and not share it with others
• Notify us immediately at support@snapmyreceipts.com if you suspect unauthorized access
• Not create accounts using automated means or under false pretenses

We are not liable for any loss or damage arising from your failure to maintain account security.

4. Subscription and Billing

Free Trial. New accounts receive a 30-day free trial with full access to all features. No credit card is required to start a trial.

Pro Subscription. After the trial period, continued use of the Service requires a paid subscription at $9.99 per month or $99 per year. Subscriptions are billed via Stripe, our payment processor.

Billing. By subscribing, you authorize us to charge your payment method on a recurring monthly basis. All fees are exclusive of taxes, which may be added where required by law.

Cancellation. You may cancel your subscription at any time from your account settings. Upon cancellation, your subscription remains active through the end of the current billing period. We do not provide prorated refunds for partial months.

Price Changes.We reserve the right to change subscription pricing with at least 30 days' notice to your registered email address.

5. Acceptable Use

You agree not to use the Service to:

• Upload or process content that is illegal, fraudulent, or deceptive
• Attempt to reverse-engineer, scrape, or create derivative works from the Service
• Transmit malware, spam, or any content that could harm the Service or other users
• Circumvent any security or access controls
• Use the Service for any purpose that violates applicable laws or regulations
• Submit receipts on behalf of another person without their knowledge or consent

We reserve the right to suspend or terminate accounts that violate these policies.

6. AI and OCR Accuracy Disclaimer

The Service uses AI and optical character recognition technology to extract data from receipt images. While we strive for accuracy, please be aware that:

• Extracted data (vendor, amount, date, category) may contain errors, particularly for handwritten receipts, damaged images, or unusual formats
• You are responsible for verifying the accuracy of extracted data before relying on it for financial, tax, or reimbursement purposes
• SnapMyReceipts is not a financial advisor, accountant, or tax professional; nothing in the Service constitutes financial or tax advice
• We recommend reviewing and correcting extracted data for any receipts that will be used for official financial reporting

7. Data and Privacy

Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you consent to the collection and use of your data as described in the Privacy Policy.

You retain ownership of all receipt images and data you upload to the Service. By uploading content, you grant us a limited, non-exclusive license to process that content solely to provide the Service to you. We do not sell your data or use it to train AI models.

8. Delegate Access

The Service allows you to grant delegate access to other users (e.g., a bookkeeper, accountant, or team member). By inviting a delegate:

• You authorize that person to view your receipts, generate reports, and manage your expense data on your behalf
• Delegates cannot access your account settings, payment information, or invite additional delegates
• You remain responsible for all actions taken by your delegates
• You can revoke delegate access at any time from your account settings

Delegate users must have their own SnapMyReceipts accounts and agree to these Terms.

9. Intellectual Property

The Service, including its design, software, trademarks, and content (excluding your uploaded data), is owned by SnapMyReceipts and protected by applicable intellectual property laws. You may not copy, modify, distribute, or create derivative works from the Service without our express written permission.

The SnapMyReceipts name, logo, and brand are our trademarks. Nothing in these Terms grants you any right to use them.

10. Termination

Either party may terminate this agreement at any time. You may delete your account at any time by contacting support@snapmyreceipts.com.

We may suspend or terminate your access immediately if you violate these Terms, your payment method fails after reasonable notice, or we are required to do so by law.

Upon termination, your right to use the Service ceases. You may request an export of your data within 30 days of termination. After that period, we may delete your account data.

11. Limitation of Liability

To the fullest extent permitted by law, SnapMyReceipts and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages — including loss of data, lost profits, or business interruption — arising from your use of or inability to use the Service.

Our total liability to you for any claims arising under these Terms shall not exceed the greater of (a) the amount you paid us in the 12 months preceding the claim or (b) $50.

The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement.

12. Governing Law

These Terms are governed by the laws of the State of California, without regard to conflict of law principles. Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the state and federal courts located in California.

If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.

13. Changes to These Terms

We may update these Terms from time to time. If we make material changes, we will notify you by email or by posting a notice in the Service. Your continued use of the Service after the effective date of the updated Terms constitutes your acceptance of the changes.
